Terms of Service

Effective date: July 10, 2026

These terms are an agreement between you and Athlete Domains LLC (doing business as AppalachAI Studios), the operator of CashPilot. By creating an account or using CashPilot you accept them.

What CashPilot does

CashPilot connects to your QuickBooks Online company and helps you collect outstanding invoices: it syncs invoices and customers, tracks aging, and sends payment-reminder emails on the schedules you configure. CashPilot works on your behalf and with your authorization — you remain responsible for the content and timing of communications sent to your customers.

Your account and organization

You must provide accurate information and keep your credentials secure. Accounts are organization-scoped; you are responsible for the people you invite to your organization. You must have the authority to connect any QuickBooks company you connect.

QuickBooks Online connection

Connecting QuickBooks grants CashPilot read/write access to your accounting data via Intuit’s API, under the scope you approve during OAuth. Your use of QuickBooks remains governed by your agreement with Intuit. You can disconnect at any time from Settings or from your Intuit account; disconnecting revokes our access and deletes stored tokens.

Subscriptions and billing

CashPilot is a paid subscription (Starter and Growth tiers), billed through Stripe. Plans renew automatically until canceled. You can cancel any time from the billing portal; cancellation stops future charges and your plan runs through the end of the paid period. Except where required by law, payments are non-refundable.

Acceptable use

You agree not to use CashPilot to send spam or unlawful communications, to misrepresent debts, to violate applicable collection or consumer protection laws, to probe or disrupt the service, or to access another organization’s data. We may suspend accounts that put the service or other customers at risk.

Your data

Your accounting data stays yours. How we collect, protect, share, and delete data is described in the Privacy Policy, which is part of these terms.

Disclaimers

CashPilot is provided “as is.” We work hard to keep it accurate and available, but we do not guarantee uninterrupted service, that synced figures are error-free, or any particular collections outcome. CashPilot is not an accounting, legal, or debt-collection advisory service.

Limitation of liability

To the maximum extent permitted by law, our total liability for any claim arising out of or relating to CashPilot is limited to the amount you paid us in the twelve months before the claim. We are not liable for indirect, incidental, or consequential damages.

Termination

You may stop using CashPilot and delete your account at any time. We may terminate or suspend access for breach of these terms, with notice where practical. Sections that by their nature should survive (data, liability, disputes) survive termination.

Governing law and changes

These terms are governed by the laws of the Commonwealth of Kentucky, USA. If we make material changes we will update the effective date above and notify active customers by email; continued use after changes take effect constitutes acceptance.
